  •  answer telephone, screen and direct calls
  • take and relay messages
  • provide information to callers
  • greet guests
  • direct guests to correct destination
  • interact with the public, clients and vendors
  • ensures knowledge of staff movements in and out of firm
  • general administrative and clerical support
  • receive and distribute mail and deliveries to mailroom, except for HR Dept. (Fedex, UPS, etc…)
  • maintain certified mail and incoming package log (FMS packages/mail is time sensitive)
  • maintain visitors log and badges
  • schedule conference rooms electronically
  • maintain the reception area
  • scan PTO reports to corresponding managers/supervisors
  • activate and deactivate parking/access badges
  • responsible for ordering parking validations in a timely manner
  • maintain parking validation log
  • issue parking validations to appropriate clients
  • responsible for creating and issuing birthday bags to employees
  • update and audit parking and parking reimbursement list
  • order food for meetings
  • create and maintain monthly schedule for back-up receptionist
  • scan and email PTO report to all supervisors and managers
  • all other duties as assigned
